What proof of product may show
Depending on the transaction, supporting material may indicate that a product existed at a particular time, that an inspection occurred, or that a company had a relationship with a facility. Its value depends on the document type, issuer, date, scope and ability to verify it independently.
What it does not automatically prove
A product document does not necessarily establish current availability, unencumbered title, authority to sell, allocation to a specific buyer or the seller’s ability to perform the complete transaction. It also does not prove that every other document in the package is genuine.
Authenticity and relevance are different
Verification has two questions: is the document authentic, and is it relevant to this transaction? A genuine inspection report may concern a previous cargo. A real storage document may name a company with no authority to sell. Confirm the issuer and then confirm the connection to the parties, product, location and dates in the current deal.
Protect sensitive documents
Legitimate sellers may restrict disclosure because product and facility documents can be misused. Buyers may also protect bank information. A balanced procedure should allow staged verification, appropriate redaction, direct issuer checks and controlled disclosure without demanding unnecessary sensitive material too early.
Follow the transaction, not a checklist
Due diligence should connect identity, authority, title, product, facility, logistics, inspection, banking and contract. If one part cannot be reconciled with the others, more paperwork will not solve the underlying gap. Ask what each document proves and what still requires confirmation.
Independent verification remains essential
Use official registries, independently sourced contact details, recognised inspectors, qualified advisers and bank-to-bank channels where appropriate. Do not rely solely on documents forwarded by the party being checked. A sound procedure creates several independent points of confirmation before money or binding instruments are committed.
